Privacy Policy

Brentsoft Technologies ("Brentsoft", "we", "us", or "our") operates FinOS Cloud, an accounting and business-management platform for African small and medium-sized businesses. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using FinOS Cloud, you agree to the collection and use of information as described here.

1. Information We Collect

Account information

Name, email address, phone number, and password (stored as a one-way hash — we never store your plain-text password) when you register.

Business and financial data

Everything you enter to use the service: your organisation's details, customers, suppliers, invoices, bills, payments, employee and payroll records, inventory records, and accounting entries. This data belongs to you and your organisation — see Section 6.

Payment information

When you subscribe to a paid plan, payment is processed directly by Paystack. We do not collect or store your card details — we only receive confirmation that a payment succeeded and basic transaction metadata (amount, plan, date).

Usage data

Basic technical data such as IP address, browser type, device information, and pages visited, collected automatically to keep the service secure and reliable.

2. How We Use Your Information

• To provide, operate, and maintain FinOS Cloud.
• To process transactions and send related notifications (invoice emails, payment reminders, password resets).
• To communicate with you about your account, updates, or support requests.
• To detect, prevent, and address technical issues, fraud, or abuse.
• To improve the product based on how it's actually used.

3. Data Storage and Security

Your data is stored on secured servers with tenant isolation — every organisation's data is strictly separated from every other organisation's, enforced at both the application and database level. Passwords are hashed, not stored in plain text. Access to production systems is restricted to authorised personnel. No method of transmission or storage is 100% secure, but we take reasonable, industry-standard measures to protect your information.

4. Third-Party Services

We use the following third-party providers, each of which processes limited data on our behalf under their own privacy terms:

• Paystack — payment processing for subscriptions.
• Resend — transactional email delivery (invoices, receipts, password resets).
• DigitalOcean — application and database hosting.
• Netlify — hosting for the web application interface.

5. Data Sharing and Disclosure

We do not sell your data. We only share information with the third parties listed above (as necessary to operate the service), when required by law, or with your explicit consent. Members you invite to your organisation can see the data your organisation's permission settings allow for their assigned role.

6. Your Rights and Data Ownership

You and your organisation own the business data you enter into FinOS Cloud. You may request a copy of your data, request corrections, or request deletion of your account and associated data by contacting us (Section 11) — noting that some financial records may need to be retained for a period to comply with applicable tax and accounting record-keeping laws.

7. Data Retention

We retain your data for as long as your account is active, or as needed to provide the service. If you close your account, we may retain certain records where required by law or legitimate business purposes (e.g. financial record-keeping obligations), after which it is deleted or anonymised.

8. Children's Privacy

FinOS Cloud is a business tool and is not directed at, or intended for use by, children under 18.

9. International Data Transfers

Our infrastructure providers may process data in locations outside Nigeria. Where this happens, we take steps to ensure your information receives an appropriate level of protection.

10. Cookies and Local Storage

FinOS Cloud uses browser local storage to keep you signed in between visits. We do not use third-party advertising cookies or tracking pixels.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or an in-app notice. Continued use of FinOS Cloud after a change takes effect constitutes acceptance of the updated policy.
